Role Description:
The Project Support Officer is accountable under general direction to provide effective administrative support to a technical Information Communications and Technology (ICT) project within a Program. The role is split approximately 60 percent coordination and 40 percent technical writing.
The role supports management of project coordination activities and processes, including secretariat functions and information pack preparation (when required), that relate to project governance and coordination including:
Program Board reviews
Independent Assurance reviews
Integrated Project Team (IPT) meetings
Systems Engineering reviews
Project Executive meetings
The role supports development and management of technical documents including design, configuration, technical support, and training documents. Final documentation is expected to comply with the ADF Writing Manual and Commonwealth standards such as the Commonwealth Style Guide and accessibility requirements.
The role provides essential support to the project delivery team which is responsible for infrastructure and product development that will be integrated with existing systems. Technical Notes supplied by Service Providers will be compiled into system design and security documents, requiring liaison with Service Providers to better understand how the Technical Notes come together.
The role will also develop user friendly and executive-targeted documentation including usage guides and training materials.
Major Responsibilities:
Support planning and coordination of project meetings including, but not limited to: booking of meeting rooms; creating and distributing calendar invitations; arranging building entry and escorts (if applicable); preparation of agendas and supporting information; preparation of meeting packs for attendees; preparing meeting rooms including furniture arrangement and audio-visual accessibility; taking of meeting minutes and/or action items; distribution of draft minutes for comment; distribution of signed minutes once approved by the Chair.
Support the Project Director in preparing for Project Board meetings, Independent Assurance Reviews, and meetings with industry representatives, including liaison with external points of contact, preparation of information packs, and support in travel arrangements and acquittals.
Provides project administration support including management of project registers including, but not limited to, risk and issues, action items, and project decisions.
Support technical writing in:

Developing ICT Security accreditation documentation in accordance with the endorsement process;

Developing design documents drawing from existing technical and configuration information;

Developing systems and service transition documentation which meets the agreed requirements for transition of the solution to sustainment teams;

Developing support documentation including for ongoing maintenance activities, disaster recovery procedures, and ‘as built’ configuration documentation.
Provide general administrative support including management of project record keeping requirements and systems; secretariat support for project meetings and forums; development of agreements, briefs, minutes and other communications; and induction of new members to the project office.
Other skills and knowledge:
High-level proficiency in the use of Microsoft Office suite products including:

Word: styles, formatting, templates

Excel: register development and management (risk register, decision register, action items register)

PowerPoint: professional slide decks for Executive briefings; master layout changes

Visio: org charts, process flow diagrams

Project: schedule maintenance and analysis
Demonstrated experience in the management of project governance and coordination management.
Demonstrated awareness of copyright, intellectual property, and accessibility restrictions and requirements is essential.
Relevant professional certifications and academic achievements are highly regarded.
Previous knowledge of, or experience with, DEF7013 PH4 Project would be highly regarded.

Role Description:
Access Foundations Branch within the Australian Signals Directorate (ASD), will deliver cutting edge capabilities to support ASD’s Signals Intelligence and Offensive Cyber Capabilities.
These capabilities consists of a combination of:
Delivery of new capability under the REDSPICE program,
Delivery of ASD's major capability programs and,
Enhancing and modernising existing capabilities.
To facilitate this ASD has a requirement for Project Support Officers.
The Project Support Officer will work under routine direction to assist several team leads in the delivery of the Project. Duties will include assisting with project procurement activities, recordkeeping, organising and minuting meetings and general administrative tasks. The incumbent will be required to function within broad guidelines and be willing to identify solutions to common administrative problems.
They will need to be a self-starter and have an ability to work within strict timeframes.
The role will require project support skills and a proven ability to work within an integrated team of technical/non-technical personnel.
Major Responsibilities:
With guidance from team leads, procure goods and services for ICT systems and administer arrangements for ICT systems
With guidance from team leads, assist with the development of procurement documentation in accordance with Defence procurement rules.
With guidance from team leads, assist with the development of project documentation in accordance with project management methodology.
Assist with routine record keeping, including using the organisation’s electronic record keeping system.
Assist with the establishment standard operating procedures for common administrative tasks.
With guidance from team leads, assist with the logging of risks and issues.
With guidance from team leads, assist with the tracking and reporting of team action items.
Assist with the organisation of meetings, and minute taking during meetings.
Assist with editing technical and project related documents, and publish documents on the intranet.
Other skills and knowledge:
Demonstrated Project Officer Competencies within the ICT field.
Procurement experience (preferably in a Defence environment)

Role Description:

Work collaboratively and constructively as part of an Agile delivery team to ensure the timely delivery of a quality ICT capability.
Work with fellow team members to improve team business processes and share knowledge.
Other skills and knowledge:
Demonstrated ICT project support competencies.
